Dear Users,

We have released version 9.1 of Therap Applications. Check out the list below for details on all the features that we have enhanced in the Therap Applications with the release of Therap 9.1.

Individual Intake (New!)


The Therap 9.1 release sets forth many new and purposeful features for managing Individuals.

This release introduces Individual Intake, a new section on the FirstPage for the Users with the Individual Administrative Role. This new section provides a number of options to efficiently manage Individuals entered into the Therap system.



Users with the Individual Administrative Role will be able to access the Individual Intake section from their FirstPage.



They will need to fill in the Individual Entry form to save Individuals into the system. ID Type field drop-down menu will display only state specific ID types.



On saving the Individual information into the system, the Individual Data page for the Individual will be displayed.



Individual Data (New!)

Therap 9.1 puts forward the Individual Data Form by a new name - Individual Data. Hence forth, Individual Data Form (IDF) will be known as Individual Data and Users can access the Individual Data module from their FirstPage.



Once an Individual is entered into the Therap System, the Individual Data page will be created for that Individual. The Individual Data page can be displayed in two different views: Individual Detail and Individual Edit.

Individual Detail View

Only specific sections are editable in the Individual Detail view. Individual's Contact details (including Shared Contact) and external documents are editable in the Individual Detail view.



Individual Edit View

Individual's Name, Birth Date, Residential Address, Medical Information, Insurance and Behavior details are editable in the Individual Edit view.



Administrative Roles

With the release of Therap 9.1, Admin Capabilities will be renamed to Administrative Roles. All the Administrative Roles have been transferred to the Privilege page of a User under the Privilege - Agency Wide and Administrative Roles drop-down box. The assignments of Administrative Roles have also been redesigned to accommodate the enhancements.

A new Administrative Role - Super Admin has been introduced. Users assigned with this Role along with all other Administrative Roles will have all the access privileges that are currently available under a Provider Administrator.



The Super Admin Administrative Role, along with other necessary Administrative Roles, will be automatically applied to the User accounts of existing Provider Administrators of agencies.



A new Administrative Role - Reset Password has been introduced. Users assigned with this Role will be able to access the new Change Password section on their FirstPage and they will be able to reset passwords for the Users accessing via the User List.
Users with the Super Admin Role along with the Reset Password Role will be able to reset passwords for Users (within the agency) with the Super Admin Role.

Users with the Reset Password Role can access the Users with the Super Admin Roles only if they have the Super Admin Role assigned to their respective User accounts.



Another new Administrative Role - COIS Admin has been introduced. This Role will only be available to Cross Provider Agencies. A User with the COIS Admin Administrative Role will be able to share information regarding the shared Individuals within the Cross Providers.

The COIS Admin Administrative Role will be automatically applied to the User accounts of existing Administrators of Cross Providers.

Only the Cross Provider Users with the COIS Admin Administrative Role will be able to find the COIS Admin Administrative Role under the Administrative Roles section of the 'Privilege - Agency Wide and Administrative Roles' drop-down box of the Privilege page of a User.



Demographic Report Admin Capability has been renamed to Admin Report Administrative Role and Other Admin Capability has been renamed to Provider Setup Administrative Role.

The Users with the User Privilege Administrative Role will be able to assign Administrative Roles (other than the Super Admin and COIS Admin Roles). Only the Users with the Super Admin Administrative Role along with the User Privilege Administrative Role will be able to assign the Super Admin and COIS Admin Roles to other Users (only if COIS option is enabled for the provider).

Caseload Based Roles

Individual Data Roles

New Caseload Based Roles have been introduced for the Users to access the Individual Data module:

  • Individual Data View - To view Individual Data with the 'Admitted' status only
  • Individual Data Edit - To edit the details of the Individual Data
  • Individual Admit / Discharge Edit - To edit details of the Individual Data and Admit or Discharge Individual from the enrolled Program
IPOP and Safeguards

New Caseload Based Roles have been introduced for the Users to access the Individual Plan of Protective Oversight and Safeguards module:

  • IPOP Submit - To create new forms and Edit Saved forms
  • IPOP Approve - To create, Edit and Approve the forms
  • IPOP View - To view Approved / Deleted / Discontinued forms
  • IPOP Update - To update and discontinue Approved forms as well as to view Discontinued and Approved forms
With the release of Therap 9.1 the existing Super Roles that have the IDF Roles will updated with respective Individual Data Roles and IPOP and Safeguards Roles. In order to assign privileges for the Individual Data and IPOP and Safeguards modules, corresponding Roles need to be assigned separately to a Super Role.

Creating New User Account

Users with the User Administrative Role can now create a new User by entering a minimal number of fields in the Create New User page.



On the Create New User page, some fields have been reorganized:

  • In the User Information section, Users will need to enter the Time Zone for the new User along with other required information (First Name, Last Name, User Initials, Login Name, etc).

  • In the Account Settings section, Users may choose the appropriate option for the Status and Self Enroll Account fields. Other preferences such as 'Notification', 'Calendar', 'GER Abuse/Neglect', 'SComm Access', 'Search' (beyond 13 Months), 'Access on Discharged or Deceased Individuals'; have been relocated to the Common Roles and SComm Roles sections of the Privilege page of the User under the 'Privilege - Agency Wide and Administrative Roles' drop-down box.



  • The Personal Information and Emergency Contact sections on the Create New User have been rearranged to the Profile page of the User.



    After clicking on the 'Save' button on the Create New User page, Users will be directed to the Profile page of the newly created User. The Privilege page of the new User can be accessed by clicking on the 'Privilege' link or the 'Update and go to Privilege' button available at the bottom of the 'Profile' page of the new User.



    Users with the Super Admin Administrative Role along with User and User Privilege Role will certainly be able to create a new User with the Super Admin Administrative Role by assigning the Super Admin Role in the Privilege page of the new User.

    Users with the Super Admin Administrative Role will be marked with the (Super Admin) tag in the Update User Information page.



    Users with the Super Admin Administrative Role will be marked with the (SA) tag in the User List page.



Assigning User Privileges

Users with the User Privilege Administrative Role will find the following drop-down boxes in the Privilege page of a User:

  • Privilege - Agency Wide and Administrative Roles
  • Privilege - Caseload(s)



    The Privilege - Agency Wide and Administrative Roles drop-down box will provide a list of Common Roles, SComm Roles, all Agency Wide Roles and Administrative Roles.



    The Privilege - Caseload(s) drop-down will allow the assignments of privileges to the User according to the Programs and Individuals for respective Caseloads.

Creating New Super Role

Users with the Provider Setup Administrative Role will be able to create new Caseload Based Super Roles on the Create New Super Role page.

All the Caseload Based Roles will be listed under the Role Name section.



Users with the User Privilege Administrative Role will need to assign the Agency Wide Roles to a User from the Privilege page of the User.

Existing all Super Roles containing Agency Wide Roles will be upgraded automatically and existing Users' Privilege pages will reflect their assigned Agency Wide Roles accordingly.

Shared Contact

Post 9.1, only the users with the Shared Contact Administrative Role can create and update Shared Contacts. Users with the Individual Data Roles will view the details of the Shared Contacts in Read-Only mode.

Custom Field

Users with the Provider Setup Administrative Role are now able to discontinue a Custom Field that is linked with the Individual Data by clicking on the 'Discontinue' button available at the bottom of the Create/Update Custom Field for Individual Data page.



Configure Notification Profile

Users with the appropriate Roles for the Individual Data module can configure their Notification Profile so that they can receive notification when a Individual Data is 'Updated' or 'Deleted'. They can also receive notification when an Individual is 'Admitted' or 'Discharged'.





Users with the Individual Administrative Role in addition to the Individual Data Roles can configure additional notifications when an Individual Data is 'Created'. By configuring necessary notification profile, Oversight Provider Users with the Individual Administrative Role will receive notification when an Individual is referred to any Linked Provider. They can also get notifications if information for the Oversight Agency in the Individual Data is modified such as 'Oversight Deleted', 'Oversight Saved', 'Oversight Updated' or Oversight ID is added or deleted.

Compose New SComm message

In order to send SComm messages to the administrators of the agency, Users may quickly find the Provider Administrators by selecting the Provider Administrator category under the User Title tab.



The User List tab contains all the Users (including Provider Administrators) categorized by Staff within the agency.





In order to be able to exchange SComm messages, SComm Roles need to be assigned accordingly in the Privilege page for the User:

Enable SComm: This option allows a User to exchange SComm messages with everyone within that particular Provider.

Multi Provider SComm: If this option is selected along with the 'Enable SComm' option, then the user will be able to access SComm messages for both Oversight Agecny and Linked Providers.

COIS SComm: If this option is selected along with the Enable SComm option, then the User will be able to send SComm messages for the shared individuals of the Cross Providers.

Enable Limited SComm: This option allows a user to send SComm messages only to members of a custom user group that is assigned to him/her. Note that if this option is selected and no Custom User Group is assigned to the user, s/he will not be able to send any SComm messages.

T-Log Updates

The T-Log Search has been upgraded and Users no longer need to check/uncheck the Fast Search check-box. The system will now automatically perform Fast Search in the background.

Users will need to search T-Logs within the last 1 month from the current date when you choose the Read Status as Read or Unread. Otherwise, they may choose Read Status as Any on the T-Log Search page.



Users will be able to update any T-Logs that are not older than 30 days.



Administrators or Users with the Provider Setup Administrative Role can now set number of days before expire to at most 30 days for the T-Logs of Low, Medium, High priorities, from the Provider Preference page.

Allergy Profile - CCHIT (New!)

In Therap 9.1 an extra safety measure has been adopted while creating Medication Histories for Allergy sensitive Individuals with our new Allergy Profile option.

The Allergy information in the Allergy Profile of an Individual is checked by our system when a Medication History for that Individual is created. This has enhanced the safety of the Individuals from medications that would have caused them allergies.



The Allergy Profile option has been added under the Individual Medical Information module. Users with the Medical Information View or Medical Information Edit Roles will have access to the Allergy Profile option.


Drug-Allergy interaction will be shown for allergy(ies) that was looked up in the system only. Manually entered allergy information will not be considered for determining Drug-Allergy interactions. Providers with access to First DataBank will be able to view the Drug-Allergy interaction along with Drug-Drug interaction information for the Individuals while creating Medication History forms.



Users will be able to view all the Active, Inactive and Deleted Allergy information of an Individual from the Individual's Allergy Profile page.



Drug-Allergy interaction is determined when Medication Histories are created for an Individual. A message is displayed before that Medication History form is submitted.



Records can be kept for Individuals with no allergies or no drug allergies by selecting the 'No Known Allergy' or 'No Known Drug Allergy' check-boxes respectively.



ISP Data Search

A new 'Export to Detail Excel' link will be available at the bottom of the ISP Data Search page. This Excel file provides the details of 'Service Provider', 'Task', 'Score' and 'Group Count' that have been collected for the ISP Program.

Reconciliation Report

In Therap 9.1 we have enhanced the Reconciliation Report search techniques. Users may specify search parameters that include Program Name, Individual Name, Service Description and Service Code all at once on the same page.



The Search Result page will display the result according to the search parameters specified. Users may export the result to Excel as appropriate.



Cost Center Name

A new column titled Active has been added under the Options section of the New Cost Center Type form. For each Cost Center Name to appear on the Service form, the Cost Center Name should be activated by clicking on the corresponding check box under the Active column.



Service Description/Code specific changes

The 'Enable Unit Cost over period' field in the create new Service Description/Code form, has been renamed to Enable Tracking of Unit Rate Changes by Date Range. The functionality of this feature will remain the same.
