Static and Dynamic Approved Document of the ISP forms - 2012.0

With the release of Therap 2012.0, the approved ISP forms of the ISP Program, ISP Plan, Hab Plan and Individual Plan of Protective Oversight and Safeguards (IPOP) modules will have two different versions - one is 'Static Document' that reflects the exact view of the form when it was originally approved or updated and another one is 'Dynamic Document' that will display the form with the current dynamic data (external information that has changed in the system after the last approve/update such as, Individual's Contacts, IPOP or the ISP Programs linked within a Hab Plan or ISP Plan).

After the release of version 2012.0, previously approved ISP forms will be available in the system as the dynamic document with the 'Approved (Dynamic)' status. The feature of archiving static documents will be applicable for the newly approved/updated forms.
  • If you update any previously approved form, a new static document will be archived for this update with the 'Archived (Static)' status.

  • If you want to create new 'Approved (Static) Document' for the previously approved forms, you will need to discontinue and copy the existing forms and then approve the newly saved draft forms. Afterwards, all the static documents of the first approval and further updates will be archived with the 'Archived (Approved)' status.


The process of archiving static documents of the approved forms (First Approved and Last Updated Document) and updating the dynamic document of the approved forms is explained below for the ISP Plan module:

First Approved Static Document

While approving an ISP Plan with the 'Pending Approval Status', once you click the 'Approve' button available at the bottom of the ISP Plan a static document will be created as the 'First Approved (Static) Document' with 'Approved (Static)' status.



The First Approved (Static) Document shows exactly how the document looked like at the time of its first approval. This static document will also be archived in the system with the 'Archived (Approved)' status. You can access this archived document from the Update History link located on the updated approved form or the Archived ISP Plan Search link available under the Archived Data on the FirstPage.



You may view this ISP Plan with dynamic data by clicking on the 'Show Dynamic Document' button at the bottom of the form to edit or by clicking on the click here link located at the top of the form.

Update Dynamic Document

After approval of the ISP Plan you may update the ISP Plan by following the steps below:

  1. Search the ISP Plan form that you want to edit using the Search link in the ISP Plan area of your FirstPage.



  2. Then, open the particular ISP Plan from the search result.



  3. This will open the First Approved Static Document of the ISP Plan with the 'Approved (Static)' status. Now, click on the 'Show Dynamic Document' button at the bottom of the form to edit or view this ISP Plan with current dynamic data. You may also view this form with dynamic data by clicking on the click here link located at the top of the form.



  4. This will take you to the dynamic document of the ISP Plan with the 'Approved (Dynamic)' status. You will now be able to edit this document and view current data that has changed after approval of this ISP Plan.



  5. After making necessary changes, enter summary of the update in the Update Summary section and then click on the 'Update' button located at the bottom of the form to save the changes. You will receive the following warning message saying that this will create a new static document and replace the originally approved one. Click on the 'OK' button to continue further.

Last Updated Static Document

After updating an approved ISP Plan, the Last Updated Static Document will replace the default view for the approved ISP Plan. Once you open this ISP Plan, you will view the Last Updated Static Document with the 'Approved (Updated)' status.

  • You may view the First Approved Static Document by clicking on the Open First Approved (Static) Document link located at the top of the form.

  • You may view the previously archived static documents by clicking on the Update History link located on the Last Updated Static Document.

  • To view this form with dynamic data or to make further changes to this form, you may click on the click here link at the top of the form, or the 'Show Dynamic Document' button at the bottom of the form. This will direct you to the dynamic document and allow you to edit the form along with dynamic data.

External links in the Dynamic Document

In the dynamic document of the ISP Plan, any external links (such as links to the approved ISP Programs or IPOP forms) will direct users to the corresponding dynamic document of the ISP Program or IPOP form.

External links in the Static Document

In a static document (First Approved, Last Updated or any other archived static documents), if you click on an external link (such as, links to ISP Programs or IPOP forms) then this will take you to the associated static or dynamic document of the form (linked ISP Program/IPOP form) that was available at the time of approval/update of the static document.

In this case there may be the following three scenarios at the time of approval/update of the ISP Plan:

Scenario 1: Static documents of the linked ISP Programs or IPOP forms are present in the system at the time of approval/update of the ISP Plan.

After approval/update, clicking on the link to the ISP Program or IPOP form on the static document will direct users to the associated static documents of ISP Program or IPOP form.

For example, at the time of approval/update, if the linked IPOP form has its 2nd updated static document then the system will create the static document of the ISP Plan with the associated 2nd updated static document of the IPOP form. After approval/update of the ISP Plan, if you click on the IPOP link located on the static document then you will be directed to the associated 2nd updated static document of the IPOP form (not the currently available Last Updated Static Document).



Scenario 2: The linked ISP Program or the IPOP form do not have any static documents in the system at the time of approval/update of the ISP Plan. They were approved before the feature of archiving static document and have not been updated till now. Currently, they are available in the 'Approved (Dynamic)' status.

In this scenario, clicking on the ISP Program or IPOP link will take you to the Dynamic Document with the 'Approved (Dynamic)' status of the respective ISP Program or IPOP form.



Scenario 3: At the time of approval/update, the linked ISP Program or the IPOP form do not have any approved static document in the system but they were updated after the feature of archiving static document. As a result, there will be static document for the update of the ISP Program or IPOP form in the archive with the 'Archived (Static)' status. If you open the ISP Program or IPOP form, you will see the dynamic document of that form. You may view the archived updated static document of the ISP Program or IPOP form by clicking on the Update History link at the top of the form.

In this scenario, after approval/update of the ISP Plan clicking on the ISP Program or IPOP link will take you to the associated archived static document of the updated ISP Program or IPOP form that was available in the system at the time of update.

Review a Static Document

To review an ISP Plan, please follow the steps mentioned below:

  1. Click on the Review link in the ISP Plan area of the FirstPage.



  2. This will display the list of ISP Plans that need to be reviewed. Select the particular one that you want to review.



  3. You will be directed to the dynamic document of the ISP Plan. After reviewing all the sections of the ISP Plan, you may enter your comments in the Review Comments area.



  4. Once you are done, click on the 'Review' button located at the bottom of the page. You will receive the following warning message saying that this will create a new static document and replace the originally approved one. Click on the 'OK' button to continue further.

Discontinued ISP Plan

  • If you open a Discontinued ISP Plan, you will view the static document that was created at the time of its approval or last update. Users will not be able to view the Dynamic Document once an ISP Plan has been discontinued.
