Assign Privileges for Individuals to Users

Users with the User Privilege Administrative Role will be able to assign necessary privileges to a User. Users with the Super Admin Administrative Role along with the User Privilege Role will be able to assign the Super Admin Role to other Users.

In order to view or assign privileges to a User, please follow the steps below:

  1. Click on the User Privilege link available under the Access Control area on the FirstPage.



  2. Select the particular User from the User List page.



  3. On the Privilege page of the user, you will find the following two drop-down boxes:

    • Privilege - Agency Wide and Administrative Roles
    • Privilege - Individual(s)



      Privileges assigned to the Oversight Agency User will be applicable for both Oversight Agency and Linked Provider accounts.



  4. Click on the Privilege - Agency Wide and Administrative Roles drop-down box to assign necessary privileges to the User.

  5. The expanded Privilege - Agency Wide and Administrative Roles drop-down box will provide a list of Agency Wide and Administrative Roles. All 'Agency Wide' Roles, SComm Roles, and other Common Roles are aggregated under this drop-down box along with all 'Administrative Roles'.



    • In the Common Roles section, you can set the User's Notification, Search, Calender, GER, etc privileges accordingly. You may also allow the User to create documents for Individuals who are deceased or discharged by selecting the 'Create Access on Discharged or Deceased Individuals' check box available in this section.

    • In the SComm Roles section, you can set appropriate SComm Roles for the User. The SComm Privileges are explained below:

      • Enable SComm: This Role allows a user to exchange SComm messages with everyone within the Provider.

      • Multi Provider SComm: If this Role is assigned along with the Enable SComm Role, then the user will be able to access SComm messages for both Oversight Agency and Linked Providers.
        To enable the Multi Provider SComm feature, users of both Oversight Agency and Linked Provider will need to be assigned with the Multi Provider SComm Role.
        When an Oversight Agency user sends a SComm message to the Linked Provider users, they can select only those Linked Provider users who have the Multi-Provider SComm Role.



      • COIS SComm: If this Role is selected along with the Enable SComm option, then the user will be able to send SComm messages for the shared individuals within the Cross Providers.

      • Enable Limited SComm: This Role allows a User to exchange SComm messages within Custom User Groups only. The user must be assigned to the Custom User Group in order to be able to send SComm messages.
        Users with the Enable Limited SComm Role will be able to send General type and the Individual Care type SComm messages only to the users within the Custom User Group.


      • Enable Individual Care SComm Only: This Role allows a User to send only Individual Care type SComm messages to the Users who have access privileges to that Individual.

    • In the Module Roles section, you can assign necessary module specific Agency Wide Roles to the User.

    • In the TMS Roles section, you can assign appropriate Roles for the Training Management System (TMS) module to the User.

    • If you would like to assign any Administrative Roles to the User, select the appropriate ones from the Administrative Roles section.

  6. Click on the Privilege - Individual(s) drop-down box to select Individuals and assign privileges to the User for the selected Individuals with corresponding Super Role(s).

    • Select the appropriate Super Role from the drop-down menu.

    • You can look up an Individual by typing the name inside the 'Name' field and selecting the Individual from the auto-complete list. The corresponding access privileges for the selected Individual will be assigned.



    • Individuals can also be filtered by provider by clicking on the Advance Search link. To assign the privilege for the Individual to a User, click on the Add button associated with the Individual search result.



      If you add an Individual under the Oversight Agency who is linked with other Linked Providers, then the User will automatically be assigned with privileges for that Individual under the respective Linked Providers.



    • You may also remove the added Individual under Oversight Agency by clicking on the Remove button associated with the added Individuals. In order to unassign privileges for an User to an Linked Individual under the Linked Providers, you will need to delete that Individual's Oversight ID to unlink that Individual with the Oversight Agency. Then, the User's privileges for that Individual will automatically be removed.

      If an Individual is linked with the Oversight ID, then you will find the Individual by selecting the Oversight Agency in the Provider drop-down menu while filtering the Individual in the 'Advance Search' option.

      If an Individual is not linked with the Oversight ID, then you will need to select the respective Linked Provider in the 'Provider' drop-down menu, while filtering the Individual in 'Advance Search' option.

      You may choose the 'All Provider' option in order to view the filtered list of Individuals for all Providers.



  7. When you are done with assigning necessary privileges to the User, click on the 'Save' button at the bottom of the page.



    If you assign privileges to a User for an Individual of the Oversight Agency (linked with the Oversight ID), then the assigned privileges will be applicable for the Oversight Agency, along with all other Linked Providers where that Individual has been referred.

    If you assign privileges to a User for an Individual of a Linked Provider (without being linked by the Oversight ID), the assigned privileges will be applicable only for that particular Linked Provider.



  8. On clicking the 'Save' button you will receive the following message saying that Changes made to any Caseload based privileges will be effective within 30 minutes.



    You may go back to the Privilege list or User list by clicking on the Back to Privilege List link or the Back to User List link. You may go back to the Privilege page of the User by clicking on the Back to Form link and you may also create a new User by clicking on the Create New User link.
